Terms & Conditions – EdenFleet Car Rentals

This Rental Agreement (“Agreement”) outlines the terms and conditions under which EdenFleet (“the Company”) rents vehicles to qualified customers (“the Renter”). By proceeding with the rental, the Renter agrees to comply with all terms stated herein.

1. Eligibility

• Renters must be at least 21 years old (or higher if required by state law).

• A valid driver’s license card must be presented at pickup.

• All additional drivers must meet the same eligibility requirements.

• Unauthorized drivers are not covered under this agreement.

2. Rental Period

• The rental period begins at the scheduled pickup time and ends at the scheduled return time indicated in the reservation.

• Late returns may incur additional hourly or daily charges.

• Early returns are accepted; however, unused time may not qualify for a refund unless previously authorized.

• Extensions must be requested at least 24 hours before the scheduled return time and are subject to vehicle availability and applicable rates.

3. Authorized Vehicle Use

• The vehicle may only be operated lawfully and by approved drivers listed on the rental agreement.

• Prohibited uses include, but are not limited to:

  • Off-road driving or racing

  • Towing or pushing other vehicles

  • Transporting hazardous materials

  • Using the vehicle for ride-sharing or delivery services

• Smoking, vaping, and pets are strictly prohibited inside the vehicle.

• The Renter must maintain reasonable cleanliness and return the vehicle in good condition.

4. Payments, Fees, and Security Deposit

• All rental fees, insurance, deposits, and add-on services must be paid in full prior to pickup.

• A refundable security deposit is required before vehicle release. This deposit may be used to cover:

  • Excess mileage fees ($0.25/mile)

  • Fuel replacement

  • Tolls, traffic violations, or parking fines

  • Minor damages or excessive wear

  • Excessive cleaning due to stains, odors, or debris

• After vehicle inspection, any applicable deductions will be made, and the remaining balance will be refunded within 3–7 business days.

5. Mileage Policy

• Rentals include 200 miles per day.

• Additional mileage will be charged at $0.25 per mile.

• Mileage is verified by odometer readings at pickup and return.

6. Insurance and Liability

• Renters must provide proof of full-coverage auto insurance that includes rental vehicle protection and lists the rented vehicle.

• If insurance is not provided or is declined, the Renter assumes full financial responsibility for any loss, damage, theft, or incident.

• EdenFleet is not responsible for personal belongings left inside the vehicle.

7. Maintenance, Accidents, and Breakdowns

• Renters must immediately report any mechanical issue, accident, or warning light.

• No repairs or servicing may be performed without authorization from EdenFleet.

• In case of an accident:

  • Contact emergency services if needed.

  • Notify EdenFleet within 24 hours and provide all relevant details and documentation.

• Failure to report incidents promptly may result in additional liability.

8. Cancellations and Refunds

• Free cancellation is permitted up to 48 hours before pickup.

• Cancellations within 48 hours are subject to a 20% fee.

• No-shows and same-day cancellations are non-refundable.

• Refunds, when applicable, will be processed within 5–7 business days.

9. Vehicle Return

• The vehicle must be returned on or before the scheduled date and time stated in this Agreement.

• A 1-hour grace period is allowed; beyond this, hourly or daily late fees apply.

• Returns are subject to a final inspection before deposit refund is processed.

• Failure to return the vehicle as agreed may result in:

  • Additional daily charges

  • Temporary withholding of the deposit

  • Reporting the vehicle as unreturned or missing

  • Possible legal action

10. Fuel and Cleanliness

• Vehicles must be returned with the same fuel level as at pickup. A refueling charge applies if this requirement is not met.

• The vehicle must be returned clean and odor-free.

• Excessive dirt, stains, trash, or smoke/pet odors will result in a cleaning fee deducted from the deposit.

11. Termination of Rental

EdenFleet reserves the right to immediately terminate this Agreement and repossess the vehicle, without refund, if:

• The Renter violates any term of this Agreement

• Provides false or misleading information

• Engages in unsafe, illegal, or negligent use of the vehicle

12. Governing Law

This Agreement is governed by the laws of the State of Texas. Any disputes arising under this Agreement shall be resolved in the appropriate court located within Fort Bend County, Texas.
